Using ARIA Revenue Insights

Overview

ARIA is DanceFlow's automated operations assistant.

ARIA helps studio owners and staff review the work already visible in DanceFlow, including front-desk follow-up, scheduling issues, client retention opportunities, payment exceptions, documents, events, payroll readiness, inventory, and studio-health concerns.

What ARIA can help surface

ARIA may highlight items such as:

  • Clients close to running out of package credits
  • Clients who have no future lesson scheduled
  • New leads or booking requests that need follow-up
  • First-lesson clients who should receive a follow-up message
  • Events with unpaid, pending, refunded, or risky closeout data
  • Events that may be ready for settlement review

Using ARIA goals

ARIA goals help you focus the assistant around a business outcome.

Examples:

  • Grow package renewals
  • Improve client retention
  • Fill group classes
  • Increase event revenue
  • Follow up with inactive clients

After choosing a goal, review the suggested actions and decide which ones your team should handle first.

Automation Center and Operations

Use Automation Center to choose how much autonomy ARIA has in each operational area.

Use ARIA Operations to see what ARIA is handling, what needs review, and what needs a staff decision.

Operational packs can be set to:

  • Handle automatically
  • Prepare for my review
  • Notify me only
  • Off

Individual rules inherit the pack setting unless the studio creates a stricter exception.

Financial safety

ARIA can automatically prepare or send certain low-risk communications when the underlying rule explicitly allows it.

ARIA cannot automatically make financial decisions such as charging a payment method, retrying a payment, issuing a refund, waiving a balance, marking a payment paid, creating a payment transaction, or changing financial access/status.

What ARIA does not replace

ARIA does not replace studio-owner judgment, staff review, accounting professionals, or payroll providers.

Higher-risk actions remain staff-controlled even when an operational pack is set to Handle automatically.

Best practice

Review ARIA at the start of the day or week. Use it as a quick revenue and retention checklist before moving into normal front desk work.
