Setting Up Team Members and Front Desk Access

Learn how studios can think about team access for owners, instructors, admins, and front desk staff.

Overview

Dance studios often have more than one person helping with daily operations.

A studio may need access for:

  • Studio owners
  • Admin staff
  • Front desk staff
  • Instructors
  • Independent instructors
  • Event staff

Why role access matters

Not every team member needs the same permissions.

For example, an owner may need billing, reports, settings, and team management.

A front desk staff member may need clients, schedule, check-in, payments, and tickets, but may not need full owner-level settings.

An instructor may need schedule and student information without full billing or admin control.

Inviting team members

When team invitations are available in your workspace, use the team settings area to invite staff.

Before inviting someone, decide:

  • What tasks they need to complete
  • Whether they should see financial details
  • Whether they should manage events or tickets
  • Whether they should access settings
  • Whether they should manage clients or only view schedules

Best practice

Start with the least access someone needs to do their job.

Review team access regularly, especially when staff roles change.

This keeps the workspace cleaner and helps protect client and payment information.
