Payroll & Instructor Pay

Preparing Instructor Payroll

Review instructor compensation and prepare payroll information before sending it to your payroll or accounting provider.

Overview

Payroll preparation helps studios organize instructor compensation before payroll is processed outside DanceFlow.

DanceFlow prepares and summarizes the information. Your payroll provider, accountant, or tax professional remains responsible for official payroll processing and tax treatment.

What payroll preparation can include

Depending on your studio setup, payroll preparation may include:

  • Instructor lesson compensation
  • Group class compensation
  • Event or coaching compensation
  • Pay rates or compensation rules
  • Date-range totals
  • Instructor-level summaries
  • Exportable payroll preparation reports

Review before exporting

Before preparing a payroll report, confirm:

  • Appointments and classes are complete
  • Attendance and closeout are accurate
  • Instructor assignments are correct
  • Compensation rules are current
  • Canceled or no-show appointments are handled correctly
  • Manual adjustments have a clear reason

Exporting payroll preparation

Choose the correct date range and generate the instructor compensation export.

Review the export before providing it to your payroll provider or accountant.

Important limitation

DanceFlow payroll preparation is not a payroll processor.

It does not replace:

  • Payroll tax filing
  • Employee or contractor classification advice
  • Tax withholding
  • Direct deposit
  • Wage-law compliance
  • Professional accounting or legal advice

Best practice

Use a consistent payroll period and complete schedule closeout before generating payroll preparation reports.
