Overview
Daily Closeout helps studios mark completed lessons as attended after confirming they are properly covered by a package, membership, payment, or comp reason.
Some lessons are ready to close out immediately. Others appear under May Need Review because DanceFlow needs staff to resolve payment or credit coverage first.
Why a lesson may need review
A lesson may appear under May Need Review when:
- It is pay-as-you-go and unpaid
- It is missing a valid package credit
- It has a billing type that needs payment confirmation
- The client has no available credit or package coverage
- Staff need to apply account credit or collect payment
Ready to Close Out
Lessons are ready to close out when DanceFlow can confirm the lesson is covered.
Examples:
- Package Credit lesson with available package credit
- Membership lesson with valid membership coverage
- Pay-as-you-go lesson marked paid
- Free/Comped lesson with no payment required
Recording a pay-as-you-go payment
1. Open Schedule.
2. Go to the correct date.
3. Find Lessons that need review.
4. Open the pay-as-you-go lesson.
5. Enter payment collected, payment method, and any notes.
6. Save the payment.
Once the payment covers the lesson, the lesson can move to Ready to Close Out.
Applying account credit
If the client has available account credit, you can apply it toward the lesson.
Examples:
- Lesson price: $85
- Available credit: $85
- Credit applied: $85
- New payment collected: $0
Or:
- Lesson price: $100
- Available credit applied: $60
- New payment collected: $40
DanceFlow records the credit application in the client account ledger.
Closing out the day
Once eligible lessons are ready, use the closeout action to mark them attended.
This updates attendance and helps keep package balances, membership usage, and reports accurate.
