Overview
Google Calendar integration helps studios and instructors keep DanceFlow schedule activity visible in an external calendar.
DanceFlow supports two different calendar relationships:
- A shared studio calendar
- A personal instructor calendar
Shared studio calendar
The owner or manager can connect a shared calendar used for studio-wide schedule visibility.
This is useful when the studio maintains one central calendar for lessons, classes, rooms, or operating activity.
Personal instructor calendar
An instructor can connect a personal calendar for appointments assigned to that instructor.
Owners or managers who also teach may use a personal instructor connection in addition to the shared studio connection.
Why the connections are separate
A shared studio calendar belongs to the studio operation.
A personal instructor calendar belongs to the individual instructor.
Keeping these connections separate helps prevent one person's calendar settings from controlling another person's schedule.
Automatic synchronization
After a supported calendar connection is active, DanceFlow can synchronize eligible schedule changes automatically.
Calendar applications may take time to display updates depending on refresh behavior and connection status.
If events are not appearing
Check:
- The correct calendar is connected
- The appointment is assigned to the correct instructor
- The connection is active
- The event falls within the synchronization window
- The calendar was not disconnected or reauthorized under another account
Best practice
Use the shared studio calendar for studio-wide visibility and personal instructor calendars for each instructor's own assigned schedule.
