Booking Requests

Approving or Declining Booking Requests

Learn what happens when staff approves or declines a booking request.

Overview

Approving a booking request creates a confirmed appointment. Declining a request keeps the calendar unchanged and records the staff decision.

Approving a request

Go to Schedule > Requests and open the pending request.

Before approval, review:

  • Client name and contact information
  • Requested date and time
  • Instructor
  • Room
  • Lesson type
  • Notes from the client

When you approve, DanceFlow performs a final conflict check. If the time is still available, the appointment is created and the request is marked approved.

Declining a request

Decline a request when the requested time or setup does not work.

Add a staff note so your team understands why it was declined. A good note might include a suggested alternate time or a reminder to contact the client.

What clients see

If email notifications are enabled, clients can receive updates when a request is received, approved, or declined.

Best practice

Use approval for times you are confident can be honored. Use decline when the client needs a different time, different instructor, or additional follow-up before scheduling.
