Overview
Booking requests let studios collect preferred lesson times without allowing visitors or portal clients to place appointments directly on the calendar.
Requests are staff-reviewed. That means the studio stays in control of availability, instructor assignment, room usage, and final scheduling.
Where booking requests come from
Booking requests can come from:
- Public intro lesson request pages
- Client portal schedule request pages
- Future staff-created request workflows
Public intro requests are usually for new or returning leads. Portal schedule requests are usually for existing clients who already have portal access.
Where staff reviews requests
Go to Schedule > Requests.
The request queue shows pending, approved, declined, and all requests.
Each request includes client/contact details, requested time, source, notes, instructor or room preferences when available, and current status.
Statuses
Booking requests use these statuses:
- Pending: needs staff review
- Approved: converted into an appointment
- Declined: not scheduled
Best practice
Review pending requests daily. If a requested time works, approve it and create the appointment. If it does not work, decline it with a note and follow up with the client using another available time.
