Privacy, Security, and Student Data Basics

A practical overview of how studios should think about privacy, student data, payments, and account access.

Overview

Dance studios manage personal information, payment activity, schedules, and sometimes information related to minors.

Studios should handle that information carefully and only give access to people who need it.

Payment data

DanceFlow uses Stripe for payment processing. Studios should not collect or store card numbers manually in client notes, messages, spreadsheets, or other unsecured places.

Use approved checkout and payment workflows instead.

Student and client data

Client information should be used for legitimate studio purposes, such as scheduling, billing, client communication, portal access, and event registration.

Avoid adding sensitive notes unless they are necessary for the studio relationship.

Minors

Dance studios may work with minors.

As a best practice, minor profiles should be managed by a parent, guardian, studio, or authorized adult. Children under 13 should not create unmanaged DanceFlow accounts.

Staff access

Only give workspace access to staff who need it.

Use the right role for the person’s responsibilities. Front desk staff, instructors, admins, and owners should not automatically need the same level of access.

Security best practices

Studios should:

  • Use strong passwords
  • Avoid sharing accounts
  • Remove access when staff leave
  • Review public visibility settings
  • Keep client information accurate
  • Report suspicious activity

Data requests

Clients may ask about their data, corrections, or deletion. Studios should have a simple process for handling those requests and should contact DanceFlow support when platform assistance is needed.
